Who Books Team Headshot Days

Marketing managers and office managers who have been asked to fix the team page. HR teams onboarding a group of new hires who all need directory photos the same week. The common thread is that someone is responsible for consistency, and consistency cannot be produced by asking twenty people to go get their own headshot. A team day solves it in a morning. Since 2012 we’ve run them for teams of five to well over a hundred, in offices from Downtown to the Energy Corridor and in our Rice Village studio.

How an On-Site Team Day Works

You send a headcount and a few preferred dates. We reply within a day with a quote, a proposed schedule and a one-page prep sheet for your team covering what to wear and how the day runs. Two to three weeks ahead is comfortable; smaller teams can often be fit in sooner.

On the day, we arrive about 45 minutes before the first slot and set up a full studio in a conference room or open area of roughly 12 by 15 feet: lights, backdrop, and a screen so each person sees their frames. People come in on a time-slot roster, five to ten minutes apart, and are in and out in 10 to 15 minutes. Nobody waits in a hallway and nobody is off the floor for longer than a coffee break. A coordinator on your side keeps the roster moving; we handle everything else. Thirty people is a comfortable morning; larger teams take a full day or two photographers.

Everyone gets the same lighting, the same background and the same framing, and each person picks a favorite on screen. Files are batch-retouched to one standard and delivered through a secure team gallery, organized by name, in a web-sized version for the website and a full-resolution version for print, usually within a few business days. Anyone who was travelling or out sick comes to the studio on a makeup date and is photographed on the identical setup, so their photo slots in as if it were taken the same day.

Studio Team Days, Backgrounds and Ongoing Matching

Teams of five to fifteen often prefer the studio at 2414 Sunset Blvd: we block a morning, people book their own 15-minute slot, and there’s no setup in your office at all. The result is identical either way.

Backgrounds are chosen once for the company. White is the corporate and healthcare standard; light gray suits engineering, tech and consulting; navy and black are common for executive teams; a brand color can be matched. We record every setting, so when you hire someone in six months, they book a quick studio session and their photo matches the team page exactly. Several Houston companies have used us for six or seven years this way and their staff pages still look like one session.

Team days can be combined with other work while we’re on site: office lifestyle and marketing photography of the workspace, individual executive portraits for the leadership page, and short video introductions for the website. One crew, one invoice, matching style.

Downtown, the Galleria and Uptown, Greenway Plaza, Upper Kirby, the Texas Medical Center, the Energy Corridor, Westchase and Memorial, Sugar Land, Katy, Pearland and The Woodlands. Travel inside Beltway 8 is included in team pricing; outside it there is a small travel fee quoted in advance.
